Sales by Tax Group Report

Use the Sales by Tax Group report to see total taxable sales, non-taxable sales, an estimate of sales tax due, and a breakdown of estimated taxes by Tax Group for your business over any time period.

Run the Report

From BackOffice, run the Sales by Tax Group report for an overview of taxable sales, non-taxable sales, and estimated amount of tax due for a specific time period.

  1. Click 'Analytics' and select 'Tax Group'.

Summary Tiles

The summary tiles display an overview of sales and estimated sales tax due for the selected date range.

Net Taxable Sales | Total pre-tax sales minus pre-tax returns for transactions where tax was charged.
Net Non-Taxable Sales | Total amount of untaxed sales minus total untaxed returns.
Estimated Sales Tax Due | Estimated tax amount collected based on Net Taxable Sales & related Tax Groups.
*Multiplying ‘Net Taxable Sales’ by your tax rate may NOT equal ‘Estimated Sales Tax Due’ because of differences introduced by rounding. Visit this section below to learn how tax is calculated.

Table View

The table view provides details about individual Tax Groups over the selected date range.

Tax Group | Name of the Tax Group as entered in BackOffice.
Percentage | The Tax Group’s rate (%) as entered in BackOffice.
Taxable Amount | Amount of Net Taxable Sales coming from items in the Tax Group.
Estimated Sales Tax Due | Estimated amount of tax collected for the Tax Group.

  1. Click any header with arrows to sort the table ascending/descending.

Filter the Report

Use the filter tool to hide Tax Groups or table columns you don’t want to see on the report.

  1. Click 'Filter'.

  2. To hide a Tax Group, uncheck the box.

    To show the Tax Group again, re-check the box.
    Tax Group filters apply to the Table View, Export, and Print View.

  3. To hide a table column, click 'Show/Hide Columns' and uncheck each box.

    Column filters apply to the Table View and Print View.

Export the Report

Download a copy of your Sales by Tax Group report to analyze and filter the data using spreadsheet software.

  1. On the Table View, click 'Export'.

  2. Wait for the export to be generated. Check the box to be notified by email when exports are ready for download (optional).

    Exports ready in a few seconds will automatically download to your computer. Click ‘Close’ to close the message box.

    Exports that take more than a few seconds to generate are downloadable via the Export Center when ready. Click ‘OK’ to close the message box.

  3. After downloading, the export is ready to open in any spreadsheet software.

Use the Print feature to generate the report in a printer-friendly format that can be printed or saved.

Sales Tax in ShopKeep
Tax figures in reporting are estimates based on how you have set up the Tax Groups and assignments in your ShopKeep account. Tax laws can change at any time, so it is important to verify local rates and manually calculate tax due before making any official filings. We recommend contacting a tax professional for specific tax advice regarding your business.

How Tax is Calculated
Sales tax is currently calculated at the item-level using the Tax Groups you have configured in BackOffice. At the register, the relevant tax rate is applied individually to each item and rounded to the nearest penny.

Prior to version 2.10.0 of the ShopKeep register app, tax was calculated at the transaction-level, where the subtotal of each item in each Tax Group was summed before the tax rate was applied and then rounded.

Calculation Examples
Consider the following examples of a sale with two items, each priced at $5.51 and charged 9% tax.

  • Item-Level Tax (Current Calculation)
  • Item 1: $5.51, 9% tax
  • Tax on item = $5.51 x 0.09 = $0.4959
  • Item’s tax is rounded to $0.50
  • Item 2: $5.51, 9% tax
  • Tax on item = $5.51 x 0.09 = $0.4959
  • Item’s tax is rounded to $0.50
  • Total tax collected on sale = $1.00
  • Transaction-Level Tax (Before v2.10.0)
  • Item 1: $5.51, 9% tax
  • Item 2: $5.51, 9% tax
  • Subtotal of Tax Group = $5.51 + $5.51 = $11.02
  • Subtotal’s tax = $11.02 x 0.09 = $0.9918
  • Tax is rounded to $0.99
  • Total tax collected on sale = $0.99
  • Item-Level vs. Transaction-Level Tax
    Item-level tax makes it possible to return individual items, calculate taxable and non-taxable sales by Tax Group, and develop certain reporting features.

    In the example above, sales tax would be $0.99 if it was calculated at the transaction-level. If one item was returned, how much tax would you refund: $0.49 or $0.50? Which item gets the extra penny? With transaction-level tax, you can have many “extra pennies” randomly assigned to items. When each sold item’s tax is summed, you may end up with a different total than what was actually collected at the register.
