Export your stock items to download a copy of your current inventory that includes both basic items and items with variants.

Export Stock Items

Download all of your stock items to a .CSV spreadsheet in just a few clicks.

  1. In BackOffice, click 'Analytics' and select 'Stock Items'.
  2. Click 'Download' to retrieve the report.
  3. When the download finishes, open it in spreadsheet software.

    If you don’t have spreadsheet software, try Open Office for free.

Export Explained

Follow along below for a complete explanation of each of the Stock Item Export’s columns.

Active variants are listed on individual rows with their item name, a dash, and their Option Values in the Name column. For example, ShopKeep T-Shirt – Small Blue.

Item ID
Identification number that is unique for each item and cannot be changed.

ID number required for modifying/deleting items with Bulk Management. This also cannot be changed.

Name of the item as seen on receipts and in BackOffice reporting.

General grouping for inventory that is used for reporting, ticket printing, & organization.

Subgroup within a Department that is used for reporting, ticket printing, and organization.

Number that represents the item’s scannable barcode.

Store Code (SKU)
Barcode labels printed from ShopKeep use this number. It is generated automatically for each item and cannot be changed.

Amount the customer pays for the item. For open priced items, this is 0.

TRUE or FALSE. This determines whether discounts can be applied to the item.

TRUE or FALSE. This determines whether tax gets applied to the item.

Tracking Inventory
TRUE or FALSE. Indicates whether the system keeps track of the item’s Quantity.

When an item is tracked, Cost is the amount the item costs the business to sell. Cost changes as you receive inventory and updates to a weighted average of the current and receiving costs. Cost multiplied by Quantity determines your inventory value.

Assigned Cost
Same as Cost, but for untracked items.

Number of units on hand. This changes as items are sold, returned, adjusted, and received into inventory.

Reorder Trigger
When tracking inventory, Reorder Trigger is the bottom limit for when stock is low.
 When an item’s Quantity sells down to the trigger, the item appears on the Reorder Report.

Recommended Order
Quantity of an item on hand when it is fully stocked. This also appears on the Reorder Report.

Last Sold Date
Date and time the item was last sold.

Vendor from whom the item was acquired for sale.

Liability Item
TRUE or FALSE. This determines whether the item is a liability.

Liability Redemption Tender
For Liability Items, this is the tender linked to the item (Gift Card or Gift Certificate).

Tax Rate
Displays the tax group the item is assigned to. If an item is assigned to the default tax, this appears blank.
